Task Status Titles

You can define statuses to assign to a task, such as Completed or Pending. The status can be set by selecting an option from the Status list on the Defer, Forward, or Complete window.

Task statuses can also be configured on the workflow template to set the status of a linked request. By selecting Set Request Completion Status on Task Closure on the Workflow Management Settings window, the request is updated with the status defined on the template when a task in the request is completed.

Creating a Task Status Title

Before you start

If your system is partitioned, ensure that you are working in the appropriate partition.

You must have Workflow Management Set Up enabled within your General Access Security Role to work with task status titles.

  1. Select ≡ > Admin > System Administration. The System Administration window appears. In the Explorer pane, expand Workflow Management.

  2. Select the Task Status Titles option. The Task Status Titles window appears, with a browse table listing existing task statuses. You can adjust the column widths if required.

  3. Select the New icon. A blank row is inserted in the browse table.

  4. Type a name for the task status title in the Name field.

  5. Define settings for the task status:

Closure

Default status to display on the Task Completion window in Core.

Only one status can be set as a closure status.

Parent Status

This setting applies only to Nano.

Select to designate a status as the parent of the statuses beneath it. Multiple parent statuses can be defined, turning each status between them into 'child' statuses of the parent above. Only statuses defined as Parents appear as columns in the Kanban layout in Nano, and each task appears within its parent status column.

Close

This setting applies only to Nano.

When a status with this setting is assigned to a task in Nano, that task is closed. Closed tasks can be reopened in Nano using the Re-Open button; changing the status will not automatically re-open it.

In Approval Tasks, statuses with this setting are not selectable. Approval Tasks must be closed using the Approve and Reject buttons.

Clock Stop

This setting applies only to Nano.

Selecting this status for a task in Nano will stop the SLA clock. Statuses without this setting will start the SLA clock.

Image

This setting applies only to Nano.

Select an image from the list to indicate to users in Nano what function or action will be performed on the work item when it is saved with that status. Any image can be assigned to any status. Select None to display no image.

This table shows the corresponding image that appears in Nano per image name.

A status configured to close the task should be assigned the Close image.

Request Status

This setting applies only to Nano.

Select a request status to correlate to that task status. When a task is saved in Nano with that task status, the parent request's status is updated to the one defined here. This also applies to tasks at closure if the task in the workflow template does not have a Request Completion Status defined.

6. Select to save the changes. Provide the Change Reasons if prompted to do so.

Updating a Task Status Title

You can change the name of a task status title, specify whether it should be assigned on closure of a task, and reorganize the order in which the statuses are displayed in the Status list on the task defer, forward, or completion windows.

Do not rename the system-defined “Unspecified” task status title.

  1. Select ≡ > Admin > System Administration. The System Administration window appears. In the Explorer pane, expand Workflow Management.

  2. Select the Task Status Titles option. The Task Status Titles window appears, with a browse table listing existing task statuses. You can adjust the column widths if required.

  3. Select the status you want to update and make the necessary changes. You can overwrite the existing name with a new one, select/deselect the setting checkboxes, or change the order in which the statuses are listed in the Status list on the task defer, forward, or completion windows using the reorder buttons.

  4. Select to save the changes. Provide the Change Reasons if prompted to do so.

Deleting a Task Status Title

You cannot delete the Unspecified value. Nor can you restore a deleted task status title. If you create a new task status title with the same name as a deleted one, it will not be seen as the same task status title by the system.

  1. Select ≡ > Admin > System Administration. The System Administration window appears. In the Explorer pane, expand Workflow Management.

  2. Select the Task Status Titles option. The Task Status Titles window appears, with a browse table listing existing task statuses. You can adjust the column widths if required.

  3. Select the status you want to delete. Select the Delete icon. If you attempt to delete the system default, you will receive a warning message.

  4. Select to save the changes. Provide the Change Reasons if prompted to do so.
