Financial Category

Financial categories on Configuration Management Database (CMDB) items play a crucial role in the financial management of Configuration Items (CI). These categories enable organizations to classify CIs based on financial aspects, such as cost center, asset type, depreciation, and investment category. By assigning financial categories to CMDB items, analysts can gain a clearer understanding of financial implications, control costs more effectively, and make informed budgeting and investment decisions. This categorization also simplifies financial reporting, forecasting, and analysis related to IT assets and services.

Examples of Financial Categories for CMDB Items

  1. Investment Category: Segments the CI based on the type of investment, such as capital or operational expenditure.

  2. Maintenance Cost: Records the ongoing costs incurred to maintain the CI, including updates and repairs.

  3. License Cost: Keeps track of the costs associated with licensing agreements for software or other licensed components.

  4. Support Cost: Keeps track of the cost of support for software and other components.

You can define financial categories which can be used to add financial information about CMDB items. Analysts can select a financial category when specifying the CMDB item details.

You may define as many financial categories as you wish. You can create, rename and delete these financial categories.

Creating a Financial Category

Before you start

You must have CMDB Setup enabled within your General Access security role in order to configure any CMDB administration settings. Depending on if or how your system is partitioned, ensure that you are working in the correct partition.

  1. Select the Menu button, then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Financial Category to open the window.

  4. Select the New icon. A new row is added to the browse table.

  5. In the Name list, type the name or description of the new financial category.

  6. Repeat for each financial category you want to create.

  7. Save the changes.

  8. Provide the Change Reasons if prompted to do so.

Once you select to save, the browse table displays the entries in alphabetical order.

Renaming a Financial Category

  1. Select the Menu button, then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Financial Category to open the window.

  4. Select the financial category entry you want to edit.

  5. Type the name you want to assign for the selected financial category.

  6. Save the changes.

  7. Provide the Change Reasons if prompted to do so.

Once you select to save, the browse table displays the entries in alphabetical order.

Deleting a Financial Category

You cannot reverse this procedure. If you delete a financial category by mistake, you have to re-create the entry by creating a new financial category.

  1. Select the Menu button, then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Financial Category to open the window.

  4. Select the financial category entry you want to delete.

  5. Select the delete icon. If you attempt to delete the system default, you will receive a warning message.

  6. Save the changes.

  7. Provide the Change Reasons if prompted to do so.
