Person Profile

In ASM (Asset and Service Management), person profiles play a crucial role in organizationally categorizing Users and Analysts based on their respective areas of involvement, such as Sales, Systems, or any other department. By defining these profiles, administrators can leverage the Person Details window more effectively, ensuring that an individual’s role or department within the organization is clearly indicated and understood. This categorization is vital for several reasons:

  1. Access Control: It allows for more nuanced access control measures, with permissions and access to certain areas of the ASM system being granted based on a person's profile. For example, those categorized under a Sales profile might have access to sales-related assets and information, while those in Systems might have access to IT infrastructure details.

  2. Workflow Optimization: Workflows can be tailored based on the profiles, ensuring that tasks, alerts, and notifications are relevant to the user’s duties and responsibilities. This results in more efficient task management and quicker resolution times for issues that fall within the purview of specific departments or roles.

  3. Communication Channels: Profiles aid in identifying the correct channels for internal communication, streamlining the distribution of information within the organization. For instance, important updates regarding the sales department can be directed specifically at those with a Sales profile.

  4. Reporting and Analytics: Having well-defined profiles facilitates more accurate reporting and analytics, as data can be segmented based on the departmental or role-based profiles. This segmentation enables leadership to make more informed decisions with detailed insights into the performance and needs of each area.

To facilitate this level of organization, ASM provides the capability to add Analyst Profile 1 and 2 fields to the Person Details window through the ASM Designer. Although these fields are hidden by default, their inclusion allows for a greater level of detail in defining and utilizing person profiles. Moreover, administrators involved in setting up and managing these profiles must have CMDB Setup enabled within their General Access security role, ensuring that they can configure CMDB administration settings effectively.

Creating a profile involves accessing the System Administration window, selecting the appropriate profile type such as Analyst Profile 1, Analyst Profile 2, or User Profile, and then adding and naming the new profile values as needed. This process is not only intuitive but also highly flexible, accommodating a wide range of profile types to suit the organizational structure and needs of various businesses.

Person profiles in ASM are a foundational aspect of ensuring that the system is tailored to meet the nuanced needs of the organization’s structure. By carefully defining and utilizing these profiles, businesses can enhance their operational efficiency, improve internal communications, and ensure that information and resources are effectively managed and distributed.

Creating a Profile Value

Before you start

You must have CMDB Setup enabled within your General Access security role in order to configure any CMDB administration settings. Depending on if or how your system is partitioned, ensure that you are working in the correct partition.

  1. Select the Menu button, then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Person Profile to open the window.

  4. Select the Profile Type: Analyst Profile 1, Analyst Profile 2 or User Profile.

  5. Select the New Icon. A new row is created to the browse table.

  6. In the Name list, type the name of the value you want to create.

  7. Repeat these for each profile value you want to create.

  8. Save the changes.

  9. Provide the Change Reasons if prompted to do so.

After you select to Save, the Person Profile window refreshes and Analyst Profile 1 is automatically selected again. If you were working on another type of profile, re-select it to see the values that you have saved.

Renaming a Profile Value

  1. Select the Menu button , then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Person Profile to open the window.

  4. Select the Profile Type:, User Profile, Analyst Profile 1, or Analyst Profile 2.

  5. Select the value you want to edit by selecting on it. The entry is highlighted.

  6. Type the name you want to assign for the selected value.

  7. Save the changes.

  8. Provide the Change Reasons if prompted to do so.

After you select to save, the Person Profile window refreshes and Analyst Profile 1 is automatically selected again. If you were working on another type of profile, re-select it to see the values that you have saved.

Deleting a Profile Value

You cannot reverse this procedure. If you delete a profile value by mistake, you have to re-create the entry by creating a new profile value.

  1. Select the Menu button , then Admin, and then select System Administration. The System Administration window is displayed.

  2. In the Explorer pane expand CMDB.

  3. Select Person Profile to open the window.

  4. Select the Profile Type:, User Profile, Analyst Profile 1, or Analyst Profile 2.

  5. Select the value you want to delete from the profile.

  6. Select the delete icon. If you attempt to delete the system default, you will receive a warning message.

  7. Save the changes.

  8. Provide the Change Reasons if prompted to do so.

After you select to save, the Person Profile window refreshes and Analyst Profile 1 is automatically selected again. If you were working on another type of profile, re-select it to see the values that you have saved.
